Collect the current production package

Begin with your latest approved artwork, dielines, physical samples, and production specifications. A photograph is helpful, but it may not capture the material, finish, dimensions, or construction. Identify which files your business is entitled to use and request the relevant production records from your current supplier.

Decide what should stay the same

List the features that must match and the issues you want to improve. These may include fit, print appearance, packing method, artwork clarity, communication, or scheduling. A clear brief helps the new supplier distinguish an intentional change from an accidental difference.

Make artwork versions unambiguous

Label the current approved files and archive obsolete versions. Provide a product list with quantities, barcodes, and artwork filenames. If the package has changed since the last run, call out the change rather than expecting the supplier to find it by comparing several files.

Review a proof or sample before the first run

Different materials and production methods can affect the result. Agree on the review steps for structure, artwork, and print appearance. Keep an approved reference with the final production files so both teams know what the first run is being checked against.

Plan the transition around inventory

Share the date the new packaging is needed, current inventory coverage, and the delivery location. Allow the team to confirm quotation, proofing, and production requirements before assuming a schedule. If you are transferring several items, consider which ones need attention first.

Your handoff checklist

  • Current physical samples and specification sheets
  • Latest approved artwork and dielines
  • Version list with quantities and barcodes
  • Required changes and critical matching requirements
  • Application or packing-line specifications
  • Inventory deadline and delivery ZIP code

Frequently asked questions

Can a new supplier quote from a sample?

A sample is useful for an initial review. The team may still need artwork, dimensions, materials, and production details to confirm the job.

Will an old PDF be enough for production?

That depends on how it was prepared. Ask the team to review the file and identify any missing production information.

Should every item move at once?

Base the transition on inventory, production requirements, and your priorities. Discuss a sequence with the team when several items are involved.
